Megacon has become  our main event each  year and our group is growing.
Not only in members, but in the size of our booth and props .
I was able to obtain the Jabba palace door scene from Clay  at no cost to the group.
Thank you very much Clay and to all that worked on this prop. This will be a great addition to the booth, but this also brings up more questions and problems for us.

Beth has supplied us with free tickets to  Mega each year and said she will continue since  we add so much fun and happiness to the Con. The way we distributed the tickets to each member was based on what you bring to the booth and what role or part you played during the con. Helping during setup and tear down, working the booth, working the  Hoth photo scene and operating your droids with the public.

This is where the problems start.
If we plan to continue growing and becoming one of the largest branches of the main R2 builders club, we are going to have to pull together and work a little harder and everyone needs to help. I know sometimes every person can't be there to help because we have to work for a living and have other priorities that can't be put aside.
All I'm asking, if you plan to attend Mega and be in the booth the entire con please help with the duties

Next problem.
Transporting larger scene are causing us to rent a truck to get them to the con.
I have furnished my truck for several   Megas and it was my pleasure, but we will need to rent a truck from now on. Some members have rented the trucks and the money has come out of they're own pocket. This is not fair and we all need to donate a few dollars each to transport our stuff. It wont be much per person if we all pitch in.

Next problem.
The Hoth scene was a wonderful addition to the group.
During mega if we could all give 1 hours time per day working the photo op, this would take the burden off each other
The palace door we can all decide if it will be a photo op or static.

Please comment back and lets discuss these problems now.
If we can keep our group leader free and not impose rules upon each other, this will remain a loving and caring group.
If we lose this, We will fail.

Like the past 2 years, I plan to close early on Thursday, to try to get there between 5 and 6 and stay as long as needed for setup. Then I'll be back Sunday for the full day and tear down. I'll be glad to help with anything needed, I enjoyed working the photo op last year a lot. I don't have a lot of spare cash but will be happy to chip in what I can for the truck.  As for the Palace door, would we need more volunteers to do 2 photo op booths? If we could do it as a photo booth I think that would be great as a lot of people will be return con visitors that have seen the ice cave already.

First of all, I thank everyone who helped set up the Hoth set. I seen that blood, sweat, and lots of time goes into constructing it and breaking it down. I thank Keith for bringing his props and Jawas, setting up and breaking down.  The items complimented the booth and it was a huge success.   I thank Izzy for placing his R2 in the tunnel. I was so busy I'm not sure if anyone else did but thanks if you did.  Again, thanks for everyone who helped make the RL booth a success.

That's awesome that you got the Jabba's Door for "FREE!" Now is the time to consider using the Door instead of the Hoth set.  The Hoth set has been at two celebrations and to two Mega Cons.   Its a beast to set up and does take up a lot of space.  I briefly seen the Jabbas doors and it seems simple enough.  It's not about what you have but how it's displayed.   I Hope to get my R2 built by Mega Con, fingers crossed.  

Unfortunately, their has to be a leader and Calvin you've taken that lead roll, I've seen that at Mega Con two years ago and then Todd stepped in somewere inbetween. Both of you have taken lead rolls.  Someone needs to drive the car and if everyone in the car wants to drive each person will want to go their own way. I understand you don't want a dictator but someone needs to take lead to guide to group in the right direction.  If it is to vote on a logo then that needs to be done!  If its planning for Mega Con it needs to be done with someone taking that leadership role.   We have more members now and if their are several that have artistic talent, lets see it. Weather a logo is created, or you have a layout for the Megacon booth.  Theirs not much activity hear it the past two years than their has been on the FB page.  

I am sorry but if I bring my stuff to the con I am not going to expect someone to pay for it to be transported their. If I don't have the room I don't bring it.  If the prop was given to you then you'll have to pay the cost. If the prop was paid for buy only by a select few, then those members would have to pay for it.  I'm all about presenting a great booth but if I built the Catina/bar and I want to bring it to the con I am not going to expect anyone to pay for it to have it transported thier.  I had to cancel my hotel room since the RL did not have the funds to pay for the u-haul and I did not ask Mark to chip in for the any money as he had to pay for the Landspeeder to get to and from the con, most of it out of his own pocket.  I had to sacrifice and I'm sure you guys did as well.  It may not be cost effective to have booth sets at the con especially if their are two photo ops.  You guys don't have enough members to man both at once as you may have to pull two hour shifts.  I have 135 members who helped the  RL booth at 6 members every 1 1/2 hour and,  and every shift after the first overlapped every 15 min, so their were 12 members at once. I organized the whole booth schedule and if the leadership and planning was not their. It would have been a disaster. I needed to dictate when it was needed and I stepped back most of the time and the booth ran smoothly 99% of the time.  Being a leader is one who wants to be a servant. Right now know one wants to serve, they just want to do their own thing!

It's great to acquire props, but I would like to see the group come together, one way we can do this is to have Todd teach us about servos or build a group prop such as a section of the  Royal Starship were the astromechs stage.    



Now, if you want to set up a fund such as the 501st/RL do.  They have what is called a supporter account.  Those that want to donate can go to the account and they you get a supporter medal in your profile.  This is an idea that way money is raised throughout the year and no one is stressed to come up with funds at the last minute.  It's an idea but it is not mandatory to donate.

Is it possible to do a fund raiser for the group to help with prop transportation/miscellaneous costs?

Unfortunately we can not do fund raiser events. That will not only put us at risk of a lawsuit but is against the R2 Builders group's code. We are allowed to build but we can not make money off of our droids. And even though the money would not be for personal gain it will not look like that. I have seen this bite people in the butt before.

Although in all honesty we are only talking about maybe $20 per a person. The more willing to chip in the less anyone has to shell out.

Although yes the Hoth scene does take up most of my garage. For those who live a ways a way but want their droid there if you want to drop your droid off out our house prior to the convention or leave it at our house after the convention we are always willing to work with you on that.

If the Hoth is at mega this time the cost of the u-haul is approx 150.00.
Theres enough members in the group that it would only be about 20.00.
Thats not much and we do have enough members to man the Hoth if everyone contributes 1 hour per day. This its basically what we have been doing anyway.
The new scene doesn't need to be manned. I thought we could just use it for background and ill put that in my van and transport it. I was only talking about the Hoth scene.
I want asking anyone to pay for transport of their personal stuff.
Its up to everyone, what we want  the Hoth booth this time, I wasn't posting demands nor do I wish to be a leader in the group. We all make the decisions together and it has been this way from day one..
Lets kinda start thinking about the booth, its real early but it doesn't hurt to plan.

Thanks Dan,
You have been there every time helping out the group.
I plan to have Chrissys droid complete and Brenda's droid complete for Mega.
I also plan to build the Max band keyboard as long as my money allows me to and have it at Mega
I have asked Mark not to lift anything heavy during setup or removal due to his resent back surgery. It would just kill me if Mark got hurt trying to do to much. There's plenty of us to do the lifting.

I know it is also why you don't let Brenda over due it cause of her shoulder surgery.

Calvin do you think we should do a poll about bring the Hoth?

I attended megacon 2012, and that was the first I saw of the R2 builders, I have since started my build and would like to be apart of the group at megacon 2013. I was however planning to pay my full admition to the event. However I would like nothing more than to help out at the event and answer questions that passers by may have. Also I would be more than happy to donate 20 or so dollars for the truck rental. That being said, if tickets are free for the group I would be willing to donate a little more for the cause. If there is a sign up list or somthing I should know about please let me know.
